Commitments
Policy
statements.
Quality, safety, environment and conduct, applied to every engagement.
Quality
Every engagement is specified in writing before work starts: area, accuracy, classes, reference systems and deliverables. Each delivery is checked against that specification and reported with method, accuracy, lineage and exceptions.
Work health and safety
Field work is planned with the site owner before anyone attends: hazards, permits, inductions and the site's own rules. Anyone on a GroundMap job can stop work that is unsafe.
Environment
Existing surveys are used before new capture is proposed, so ground is not flown again without need. Field work keeps to agreed access and the site's environmental conditions.
Ethical conduct
No gifts or inducements in connection with any tender. Conflicts of interest declared in writing before work starts. Subcontractors held to the same standard, including on modern slavery.
The quality, work health and safety and environment statements are part of GroundMap's integrated management system.

Client
data.
Applied to every engagement unless the contract sets stricter terms.
| Ownership and use | Client data remains the client's property. It is used only for the engagement it was supplied for, and never in demonstrations, publicity or method development without written consent. |
|---|---|
| Storage | Stored and processed in Australia, encrypted at rest, on storage GroundMap controls. No offshore storage or processing without written approval. |
| Access | Limited to the people assigned to the engagement, named on request. No subcontractor receives client data without written approval. |
| Transfer | Through the client's channel of choice: their portal, an encrypted link or an encrypted drive. |
| Confidentiality | Non-disclosure agreement in place before data changes hands. |
| Retention | Held for 12 months after final delivery so it can be re-supplied, as ICSM Version 2.0 asks of vendors (section 4.7), or for the period the contract sets. |
| Return or deletion | Then returned or deleted from working and backup storage, with written confirmation listing the job records kept. Earlier on request. |
| Incidents | Any loss of, or unauthorised access to, client data is reported to the client promptly and in writing. |
| AI and automated tools | No external AI service receives client files. Automated quality checks share only numeric summaries, never data, names or locations. Our own processing runs on our machines in Australia, and every modelled point is flagged. |
| Personal information | Handled as the privacy statement sets out. |
